A central web-based database will be used to keep information in one secure place, it will always be up to date, and will be accessible from anywhere in the world.
Administrators can set multiple user privileges and each user can be assigned access rights to different levels or actions. This means any team member with access rights will have access to timesheets, client and staff contacts, project information, and much more.
As multiple users can log live information into JFox, costs and schedules can be kept on track. This will enable you to manage projects much more efficiently, you’ll be able to see at a glance which type of projects or clients are most profitable.
JFox gives the ability to forecast based on prior information and therefore produce more accurate fee proposals. Any past projects can be viewed, analysed, and compared to original quotes or estimates, and used to predict unforeseen hiccups.
JFox produces efficiency gains through reduction in administration, such as timesheet writing, calculation, and staff costing.
To avoid “guestimates,” JFox has a live timer to log team members hours worked on a particular job and automatically fill in timesheets. It also has a Timesheet Manager to manually add or correct hours worked on jobs. Any team member with access rights will be able to view the timesheets, their own work history and work performance, and sort them by task, stage, project, date, time, or team member. They can also view total hours worked by the whole team on a project.
The Job Timer makes it quick and easy to log hours against a project when working on a job. It will record the time worked by a team member and automatically fill in the timesheet.
In JFox, a project is made up of different stages; each stage represents a percentage of the overall work or time to complete a job. A stage can be treated as a sub-job of a project or a phase in the project development cycle, there are no restrictions on the number of stages a project may have. A stage can have such properties as milestone or deadline dates, hourly rates, and predicted time to complete the stage. Then based on that predicted time to complete a stage compared to the hours worked so far, we can forecast whether that stage and in turn the project is on track to meet those deadlines.
Each stage can be further divided into tasks. Tasks can be used to breakdown the stage into logical or separate components, each task can be assigned to a team member. Tasks can be added at anytime and assigned to any team member working on the project. If a stage is not separated into tasks any team member working on that project can also work on that stage.
Hours are recorded against a task or a stage, the sum of these hours shows the overall time worked on a project. The “percentage complete” of the task or stage can be updated as hours are worked, this will help forecast the current performance to show whether each stage and in turn the overall project is on schedule to meet milestone and deadline dates and fall within budget.
The details of each member of the team can be logged on to JFox. Team members can manage their own details such as contact information and login passwords, and individual rates of pay can be assigned to team members.
Staff can manage their own job schedule for the upcoming weeks, allowing you to see who will be working on what job and at what time.
The details of each client are logged on to JFox with jobs assigned to a client. Client information such as previous and current jobs, money spent, and other historical information can be accessed.
The details of all your contacts can be recorded in JFox. Contacts can be assigned to projects as a contractor or related job fee. This allows you to not only keep track of what staff are working on a job, but also what outside contractors play a role and where the job expenses are distributed.
Jfox has a modular design which means an unlimited number of new features can be added and integrated. All existing features can be modified and if your business requires a unique tool, then a customised module can be created and installed, or “plugged in.” This ease of expandability allows JFox to evolve to suit any changing company needs.
